The Scaling Business Summit (SBS) is hosted by Gradion (the new brand identity of NFQ Asia and NFQ Solutions).
NFQ Asia includes NFQ Asia Pte. Ltd. (Singapore HQ) and subsidiaries in Vietnam, Thailand, and Egypt, while NFQ Solutions GmbH operates in Germany.
Although we operate under the Gradion brand, “NFQ” remains the registered legal name until entity updates are completed.

This notice explains how we collect, use, and protect your personal data when you register for SBS via our HubSpot-powered landing page, in compliance with:

  • GDPR (EU Regulation 2016/679)

  • TTDSG (Germany)

  • PDPA Singapore (Personal Data Protection Act 2012)

  • PDPA Thailand (B.E. 2562 / 2019)

  • Vietnam Decree 13/2023/ND-CP on Personal Data Protection

  • Identity & Contact Information: name, company, job title, email, phone number

  • Ticketing Information: ticket type, purchase history, QR code for event entry by Ticket Tailor

  • Payment Information: cardholder name, billing address (processed by Stripe, not stored by Gradion)

  • Technical Data: IP address, browser type, device info, cookies (via usercentrics)

  • Preferences: selected summit activities (via our Summit App)

4. How We Collect Data

  • Directly from you when you register or purchase tickets

  • Through Ticket Tailor (ticketing) and Stripe (payment processing)

  • Through the Summit App for activity booking

  • Automatically via cookies and analytics tools (HubSpot, Google Analytics)

5. Legal Basis for Processing

We process your personal data on the following bases:

  • Consent (Art. 6(1)(a) GDPR; Sec. 19 PDPA Thailand; Art. 11 Vietnam PDPD) – e.g., marketing emails.

  • Contract (Art. 6(1)(b) GDPR) – to process ticket purchases and provide event services.

  • Legal Obligation (Art. 6(1)(c) GDPR; Sec. 13 PDPA Singapore; Art. 17 Vietnam PDPD) – e.g., tax compliance.

  • Legitimate Interests (Art. 6(1)(f) GDPR) – e.g., fraud prevention, service improvements.

7. Data Storage & Transfers

  • Data is stored in HubSpot CRM (EU data centers)

  • Transfers outside the EU comply with GDPR Standard Contractual Clauses (SCCs), PDPA Singapore’s Transfer Limitation Obligation, and Vietnam PDPD’s Cross-Border Processing Impact Assessment requirements.

8. Third-Party Processing & Retention

Some personal data is processed by trusted third parties:

  • HubSpot – hosting, forms, CRM, marketing automation

  • Ticket Tailor – event ticketing platform.

  • Stripe – payment processing.

  • Summit App – internal platform for activity bookings.

  • Usercentrics – consent management platform

These providers may retain certain data (e.g., payment transaction logs) for periods required by their local laws, which may exceed Gradion’s retention period.

We require all third parties to process data only for agreed purposes and to apply appropriate safeguards.

10. Retention Periods

  • Registration & ticketing data: 24 months after the event ends.

  • Payment records: 10 years (tax law compliance).

  • Marketing data: until consent withdrawn or after 24 months of inactivity.

  • Third-party retention: Ticket Tailor, Stripe, and the Summit App may store certain records for longer where legally required. See their privacy policies for details.

11. Your Rights

We uphold all rights under GDPR, PDPA Singapore, PDPA Thailand, and Vietnam PDPD, including:

  • Access, rectification, erasure, restriction, portability, objection (GDPR Articles 15–21)

  • Withdrawal of consent (GDPR Art. 7(3), PDPA Singapore Sec. 16, PDPA Thailand Sec. 19, Vietnam PDPD Art. 11)

  • Right to be informed (Vietnam PDPD Art. 9)
